Below are some details on how the "Admin" user and password function in the QuickBooks program.
This information may be helpful in determining if Administrative Password Recovery is needed.


Important facts about QuickBooks® passwords
· QuickBooks® passwords are optional.
· QuickBooks® passwords are NOT case sensitive.
· QuickBooks® passwords are held within the company file itself. *

* This means that every company file will have its own individual password(s). Uninstalling, reinstalling, moving
the company file to different computer, or buying a new copy or version of QuickBooks® will not effect or
remove passwords.


When you first setup your company data file in QuickBooks® you are considered to be the "Admin" user and
are asked if you would like to setup other users. There are 4 actions that can be taken at this time that will affect
entry into the company file just created.

User Table
1. Other users are NOT setup and a password is NOT entered for Admin, opening the QuickBooks® program will take you directly into your company file without a password prompt at all.
2. Other users are NOT setup and a password IS entered for Admin, opening the QuickBooks® program will take you directly to a password prompt where you are asked for the "Admin (owner)" password.
3. Other users ARE setup and a password is NOT entered for Admin, opening the QuickBooks® program will take you directly to a password prompt where you are asked for both a user name and password.
4. Other users ARE setup and a password IS entered for Admin, opening the QuickBooks® program will take you directly to a password prompt where you are asked for both a user name and password.

Note: QuickBooks® Version 5 and prior did not have the ability to create other users. Any passwords entered in
these versions were considered to be those of the Admin/Owner user, and correspond to User Table option 2..

You may also find yourself face to face with this prompt for reasons including: trying to update your data file to a new version of QuickBooks®, or trying to open your file right after installing an update to your existing version of QuickBooks®.

Bottom line: If you find yourself up against this password prompt. There is an Admin password on the company file you are trying to enter. You will either have this password or are in need of Administrative Password Recovery.

This is the password prompt that would appear from User Table options 3 or 4.

You will find yourself face to face with this prompt if trying to enter a company file that has other users setup besides the Admin user. If by chance the company file was setup according to option 3 in the User Table, typing in Admin for the user name, leaving the password field blank, and clicking ok will allow you into the company file as the Admin user.

Bottom line: If you find yourself up against this password prompt. Type Admin as the user name, leave the password field blank and click ok. If this does not allow you into the file, there is an Admin password on the company file you are trying to enter. You will either have this password or are in need of Administrative Password Recovery.



 

There are unfortunately other responses and notices you can receive regarding user names and/or passwords when trying to enter a company file. These responses are brought upon by damage in the data file. Damaged data files may not react and function appropriately with Critical-Recovery.com's Administrative Password Recovery utility. Below are a few examples of such notices.
 
Note: Admin as a user name should always be recognized. You may consider restoring a recent backup.
 
Note: The message itself informs of potential damage within the date file. You may consider restoring a recent backup.
